Managing Audiences
Once you have created an Audience Draft, you can manage its lifecycle, including updating its details, launching the recruitment, and deleting it if necessary.
Viewing Audience Details
You can view the details of any Audience by navigating to the associated Interviewer or through a dedicated Audiences section within your Project. Key details include:
- Status (Draft, Active, Completed, etc.)
- Linked Interviewer and Project
- Invitation Text
- Target vs. Recruited Participants
- Creation and Publication Dates
Updating an Audience Draft
While an Audience is still in the Draft state (before publishing), you can usually modify:
- Invitation Text (
invitation_text
): Adjust the message shown to participants. - Number of Participants (
total_available_places
): Change the target number of recruits.
Important Considerations:
- Published Audiences: Once an Audience is published (Active), modifications are often restricted. You typically cannot decrease
total_available_places
for an active recruitment campaign, although you might be able to increase it.
Always save your changes after updating a draft.
Launching Recruitment (Publishing an Audience)
Publishing transitions your Audience from a Draft to an Active state, initiating the recruitment process.
- Select the Draft Audience: Locate the Audience Draft you wish to launch.
- Choose the "Publish" Action: Find an option like "Publish Audience" or "Start Recruitment".
- Confirmation: You might be asked to confirm the action.
- Activation: Upon confirmation, the system:
- Changes the Audience status to Active.
- Activates the recruitment campaign using ThinkChain's integrated participant pool.
- Makes the linked Interviewer accessible to participants who meet the criteria.
- Records the
date_published
.
Participants matching the system's criteria will now start seeing the invitation and can choose to participate in the interview.
Deleting Audiences
You may need to delete Audience records, especially if they were created in error or are no longer needed.
- Deleting Drafts: You can typically delete Audiences that are still in the Draft state.
- Local Record: This always removes the Audience record from your ThinkChain project.
- Recruitment Campaign: When deleting a draft, you usually have an option (
delete_from_recruitment_system
or similar) to also attempt to cancel the corresponding backend recruitment setup. This is highly recommended for drafts to prevent accidental future activation.
- Deleting Active/Completed Audiences: Deleting audiences that have been published might be restricted or only perform a "soft delete" (hiding the record but preserving data). Check your platform's specific behavior.
- Bulk Deletion: The system allows selecting multiple Audience records (often filtered by status, e.g., only Drafts) and deleting them in a single operation.
Caution: Deleting an Audience is often irreversible, especially the removal of the backend recruitment campaign. Ensure you are deleting the correct record.
